TERMS OF REGISTRATION, PARTICIPATION AND CANCELLATION FOR INTERNATIONAL PARTICIPANTS IN KAJO 2022  

These terms apply to all members of foreign Guiding and Scouting organizations participating in the camp.   

REGISTRATION   

Registration for the Kajo 2022 camp is open from 1 December 2021 – 2 February 2022. Registration is done via the Scout register Kuksa and registrations submitted elsewhere are not accepted. Registration is binding. Participants under the age of 18 must arrive in the camp as part of the group of their country’s Guiding and Scouting organization. The event organizer has the right to limit the maximum number of participants in the event, if necessary. 

Travel costs to the country of destination are not included in the price of the camp. Travel within Finland to Home Hospitality locations, and to and from the campsite to and from predetermined entry and drop-off points, on the first day of Home Hospitality and the first and last days of camp, are included in the price of the camp. Other travel within Finland or travel to and from the campsite on other days is not included. 

ARRIVING IN FINLAND, STAYING IN THE COUNTRY AND LEAVING THE COUNTRY 

The participant is obligated to comply with the entry regulations of Finland, which include regulations concerning entry into, staying in and exiting the country. The participant is responsible for all permits, certificates and other documents required for entry into the country, as well as any indirect and direct payments and costs that are associated with the entry regulations valid at the time. This concerns both visa and other official matters as well as any matters related to entry regulations caused by the COVID-19 pandemic. If entry into the country includes quarantine periods, the participant is responsible for arranging and paying for them. The camp organization is not responsible for any costs related to entry into the country that may be incurred by a participant or a foreign Guiding and Scouting organization. The camp organization is also not obligated to refund any participation fees which have already been paid in the event that entry into the country or participation in the camp is not possible. 

ILLNESS 

The participation fee is not refunded in the case of an illness or accident. However, you can claim for compensation to cover the participation fee via your own insurance. 

The participant is obligated to obtain travel insurance that covers the costs of any direct and indirect treatment and other costs due to an illness or accident and transport back to the home country, if needed.

PARTICIPATION FEE AND TERMS OF PAYMENT   

The participation fee is invoiced through the participant’s Guiding and Scouting organization. The payment schedules and specific terms of payment of the participation fee are determined separately by each foreign Guiding and Scouting organization. The member of a foreign Guiding and Scouting organization must comply with the terms and periods of payment for the participation fee given by their Guiding and Scouting organization. A paid participation fee is a requirement for entering the camp area and participating in the camp. 

PERSONAL ASSISTANT IN THE CAMP  

It is possible to participate in Kajo with a personal assistant.  

The same terms and policies apply to the registration of assistants as to the other participants of the camp. Assistants pay the normal participation fee invoice. 

REMOVAL OF A PARTICIPANT OR LEAVING THE CAMP ON YOUR OWN ACCORD 

In a situation where a participant causes a danger or serious harm to themselves and/or other campers, the participant can be sent home at their own expense in the middle of the camp and the participation fee will not be refunded.  

Kajo is a drug-free camp. Bringing alcohol or drugs to the camp, having them in your possession or using them in the camp area or otherwise during the camp is strictly prohibited. The prohibition also concerns arriving at the camp and otherwise appearing in the camp intoxicated. The possession and use of alcohol and drugs will be dealt with immediately. In these situations, the participant will be sent home at their own expense in the middle of the camp and the participation fee will not be refunded.  

The use and possession of narcotics is a criminal offence under the Finnish law and will always be reported to the police as well.    

In the event that a participant leaves the camp early by their own or their guardian’s decision, the participation fee will not be refunded.  

COVID-19 

Due to reasons directly or indirectly caused by the COVID-19 virus or to prevent it from spreading, the Guides and Scouts of Finland has, at its own discretion, the right to (i) make changes to the event, including its content, method of organization, time, duration and place, and (ii) end the event early. In addition, if the event cannot be changed or postponed with reasonable arrangements or this is not practical or safe due to the spread of the COVID-19 virus, the Guides and Scouts of Finland has the right to cancel the event. If the event has to be cancelled or ended early or if the event is postponed to a time that does not suit a participant, the participation fee will be refunded to the participant, less the share that has already been tied to event organization and that cannot be recovered from the payment recipient or ultimately the insurance company.  

 

FORCE MAJEURE / CANCELLING THE CAMP FOR OTHER REASONS BESIDES COVID-19 

The Guides and Scouts of Finland is not responsible for any change or damage that is caused by a force majeure beyond its reasonable control and which the Guides and Scouts of Finland cannot reasonably be expected to have considered at the time of registration and whose consequences could also not have been reasonably prevented by the Guides and Scouts of Finland, such as war, rebellion, pandemic, a measure or recommendation by an authority that prevents performance, a strike or similar exceptional circumstances in Finland. These situations also include damage caused by a natural phenomenon, such as a forest fire or a major storm, particularly in the intended area of the event or in its immediate vicinity, that prevent the organization of the event. In such cases, the Guides and Scouts of Finland has, at its own discretion, the right to cancel or end the event early or make changes to the event, including its content, method of organization, time, duration and place. If the event has to be cancelled or ended early or the event is postponed to a time that does not suit a participant, the participation fee will be refunded to the participant, less the share that has already been tied to event organization and that cannot be recovered from the payment recipient or ultimately the insurance company.
